Residential Area Digital Signage

The electronic marketing system for HRL locations has been established to facilitate the promotion of campus programs and activities.

HRL and the residential reception desks will not accept paper fliers. All fliers should be submitted digitally using this process. Under no circumstances may fliers, brochures, pamphlets, etc. be distributed within the residential areas, including in resident mailboxes or on resident doors.

Marketing materials submitted are subject to University policies and procedures, Student Rights and Responsibilities, and ADA codes. At any time, the HRL administration or designee may deny a request or rescind any previously approved requests. Display of marketing materials, does not constitute an endorsement whatsoever by HRL.

Requests will be denied for any of the following:

  • promote the consumption of alcoholic beverages, gambling, or illegal activities
  • discrimination, defamation, obscenity or pornography
  • infringements on the safety, health, and welfare of the University community and the order of campus operations
  • infringement on the rights of others
  • materials that are offensive or graphic in nature
  • violation of ethical standard
  • promoting the violent overthrow of the Government or of the existing authorities; inciting to riot
  • noncompliance with stated policies, procedures, and laws, or other reasons the University deems appropriate for a public area

All materials must be neat and legible. The content must include the name of the registered student organization and/or UM department, and give the date, time, location of event and any applicable charges.

Policy violators may be denied future marketing privileges and reported.

Procedures

  • One submission form per event is required. It will be distributed on a first-come, first-served basis.
  • Approved content will be displayed on digital signage for a maximum of 10 days prior to event date
  • Visibility will vary on number of current advertisements received by HRL.
  • HRL reserves the right to change, delay, or halt regular programming for maintenance, updates, or special events, as necessary.

Content Format & Requirements

Content displayed on the digital signage system must meet the following minimum requirements before it will be approved and scheduled for display:

  • Format: .png, .jpeg, .pdf or .mov
  • Resolution: at least 96dpi
  • Aspect ratio: 16:9 (1920px x 1080px, landscape/horizontal images only)
  • Readability: Slides are displayed for 10 seconds at a time. Therefore, limit text and graphic images accordingly.
  • Videos: Video submissions will only be approved for University departments, with a maximum length of 30 seconds, and should be emailed to reslif@miami.edu.
  • Text and Fonts: Due to resolution limitations, avoid font size smaller than 30 points and light, ornate fonts.
  • Color and Contrast: Insufficient contrast between text and background colors, as well as using a very bright color, can make reading difficult.
